Relevant Letting Fees
The following is a guide to the process and cost involved when renting a property via Mathew James Property Consultants.
Holding Payment
Any offer accepted by the landlord is subject to satisfactory references and contract. Should the tenant choose not to proceed with a tenancy, or fail referencing, an amount of the holding payment up to the full amount may be retained by Matthew James Property Consultants to cover associated costs or to provide to the landlord pro rata.
The holding payment amount is equivalent to one week’s rent. The payment can be paid by online bank transfer, account details will be provided when needed.
Should references not be concluded within two weeks of the holding payment being made, the landlord shall be entitled to withdraw from the offer.
Confirmation of Acceptance
Following payment of the holding payment amount a document will be sent out to you confirming the terms of the acceptance of your offer.
Referencing
Referencing shall be carried out by a third party company. Matthew James Property Consultants will provide you with the necessary application forms to complete. Once the referencing has been completed, Rent4Sure will provide us with the final reports which in turn are issued to the landlord for their approval.
Statement of Accounts
To be issued in conjunction with the tenancy agreement and other associated documentation. This will be an invoice for funds that will need to be paid prior to the start of the tenancy, including
5 Weeks Deposit
1 Month’s rent in advance
Identification
Proof of photographic Identification is required before moving i.e. copy of passport or driver’s licence along with proof of address.
Tenant Swap
Should a tenant swap occur during the tenancy, whereby one tenant is removed from the tenancy and replaced by another, fees shall be applicable.
Check Out
If the Landlord is having a professional inventory made on the property, at the end of the tenancy an Inventory Clerk will meet you on the moving out date, at an agreed time to conduct the checkout appointment. This will include meter readings, going through the inventory compiled and handing over of keys.
Maintenance Issues
If Matthew James are instructed by your landlord to manage the property, you will be provided with access to an app called My Property File. This allows you to view documents and tenancies online, report maintenance issues directly and view the tenancy status and much more.
Tenant(s) please note:
- If the tenant withdraws their offer after it has been accepted or fails referencing, the tenant will forfeit up to the full value of the holding payment.
- If the Landlord decides not to proceed with the proposed tenancy for reasons other than failed references, delayed references or the discovery of information withheld or falsified by the tenant, the holding payment will be returned less the referencing cost.
Matthew James Property Consultants are members of the Association of Residential Lettings Agents (ARLA) and Client money protection (CMP) provided by ARLA propertymark.
Matthew James Property Consultants are members of the Property Ombudsman scheme and subscribe to the Code of Practice for Lettings Agents.
We use a third-party company called Muuvo Limited to notify your incumbent suppliers of your arrival and departure dates. These suppliers include the local council, water, and energy providers. You can choose to pay whichever energy supplier you wish during your tenancy, and it is your responsibility to supply meter readings on request if a smart meter is not present at the property.
As an additional part of this service, Muuvo will also offer you pertinent products at competitive prices with the intention of saving you money and improving your moving experience. Products could include broadband and TV packages, relevant insurance, and energy tariffs. By agreeing to our terms and conditions you formally consent to Muuvo contacting you by either email, SMS or telephone.
